Help · For Directors

Getting Started

Set up your SportFormIQ account, create your first session, and invite the coaches who'll help you evaluate players. Most directors are ready to run a tryout within 30 minutes.

Are you a coach, not a director? Read For Coaches instead, it's focused on your role.

In this guide
  1. Sign in for the first time
  2. Get to know your dashboard
  3. Create your first session
  4. Import your player roster
  5. Invite coaches
  6. What's next

Step 01 Sign in for the first time

After purchasing a SportFormIQ plan, you'll receive a welcome email from support@sportformiq.com with a link to set up your account. Click the link, set your password, and you'll land on your dashboard.

For all future visits, sign in at sportformiq-app.vercel.app. We recommend bookmarking the app and adding it to your phone's home screen for one-tap access on tryout day.

Tip

On iPhone, open the app in Safari, tap Share, then "Add to Home Screen." On Android, tap the menu in Chrome and "Add to Home Screen." The app will work offline once installed this way.

Step 02 Get to know your dashboard

Your dashboard is the home base for everything you do in SportFormIQ. From here you can:

The bottom navigation on mobile (top navigation on desktop) gives you quick access to Sessions, Players, and Settings.

Step 03 Create your first session

A session is a single tryout, evaluation event, or camp. Most clubs create one session per age-group, per tryout date.

To create a session:

  1. From the Sessions tab, tap + New Session
  2. Enter a name (e.g., "U12 Boys Fall 2026 Tryout")
  3. Pick the session date and location
  4. Select the age group(s), you can include multiple for combined-age sessions
  5. Confirm the cutoff date, defaults to August 1 of the season start year, which matches the new US Soccer cutoff
  6. Optionally add a registration URL, registration deadline, and hold-list deadline
  7. Tap Create Session
About the cutoff date

SportFormIQ uses the session's cutoff date to determine each player's age group from their birthday. You don't store age group on the player, we calculate it from DOB every time. If your league uses a January 1 cutoff instead, just change the field when creating the session.

Step 04 Import your player roster

SportFormIQ imports your roster from a CSV file. The column mapper auto-detects most fields from GotSport, TeamSnap, SportsEngine, and Otto Sport (formerly Demosphere). If you use a different platform, or maintain your roster in Excel or Google Sheets, that works too.

Export your roster as CSV

The general path is the same on every platform: open your registration list, choose Export as CSV, save the file somewhere you can find it. Make sure date of birth and parent contact columns are included.

If you're working from a spreadsheet rather than a registration platform, Excel and Google Sheets both export CSV from File → Save As (Excel) or File → Download (Sheets).

Upload to SportFormIQ

  1. Open the session you just created
  2. Tap Import Players
  3. Choose the CSV file
  4. Review the column mapping, confirm anything marked orange
  5. Tap Import Players

If the button is dimmed, there are blockers above it, usually missing required mappings. The orange CONFIRM badges tell you which mappings to verify before importing.

Uploading Your Roster covers step-by-step export instructions for each platform, the manual Excel and Google Sheets path, how the column mapper works, re-importing as registrations roll in, and what to do when something goes wrong.

Step 05 Invite coaches

Coaches are the people who'll actually evaluate players during the session. Each coach gets their own login and only sees the players they're assigned to.

To invite coaches:

  1. Open the session
  2. Tap Coaches tab
  3. Tap Invite Coach
  4. Enter their name and email
  5. Optionally limit them to a specific age group or team
  6. Tap Send Invitation

The coach receives an email with a one-click link to set up their account. They can sign in on their phone and start evaluating immediately.

Coach onboarding

Send your coaches the Running a Tryout guide the day before, it covers what they'll see and how to evaluate players quickly on the field.

Step 06 What's next

Once your session is set up, players are imported, and coaches are invited, you're ready for tryout day. Read the Running a Tryout guide next, it covers what happens on the field, how to handle walk-up players, and how to send outcome emails after evaluations are complete.
